Club K Operating Update – 3/26/2020

Dear Club K Families,

Club K After School Zone is committed to staying open to support our families who are essential to our community. According to the Governor’s recent mandate, the priority for childcare is Essential Workers who are first responders, emergency workers, and health care professionals. The second priority is for critical operations staff and essential personnel such as those working in the grocery stores, financial institutions, utility companies and the like. With the support of the school districts and the Early Learning Division, we have been given an additional emergency license to continue operations through April 28th during the public school closure.

Additional precautionary measures are currently in place during our Emergency Operations. These include the following:

GROUPS: Reduced classroom groups of 10 or smaller. These groups are considered stable groups of 10. This means the same group of 10 students will be included for the entire emergency order. Some days we will be at full capacity with all 10 students attending, other days we will be lower if not all attend, to maintain a total of 10 children who will be interacting together throughout the emergency.

STAFF: Reduced and consistent staff assignments for each classroom group: Each classroom group will have an am teacher, wellness check support teacher, pm teacher and pm wellness check support teacher assigned to the group. That will limit teacher interactions to 4 with the classroom group.

ADDITIONAL SANITIZING & CLEANING: We continue additional cleaning of materials that are touched throughout the day. This includes, but is not limited to, deep cleaning at the close of program, frequent hand washing throughout the day, and use of hand sanitizer when needed as transitioning between activities.

WELLNESS CHECKS: Students and Staff will continue to complete a wellness check at the beginning of each day with stricter guidelines regarding temperature and possible exposure in place. Families will adhere to new taped off waiting areas before entering the wellness check and pick up area to support 6 ft. social distancing.

SOCIAL DISTANCING: Social Distancing practices will be adhered to during emergency operations. These include spacing of students 6 ft apart, no group activities that involve contact, planning of individual materials and activity areas for students, meal time spacing of 6 ft, outside activities that exclude playground equipment and include individual athletic equipment.

Focus on Wellness, Fun and Inspiration: Despite these strict measures put in place to keep your student and our staff well, Club K will continue focusing on each student’s emotional wellness during this difficult time. Each day will be filled with positive statements, enriching activities, comforting routines and structure and genuine interest and care into their well being. We are mapping out a full day curriculum to implement during the next few weeks. The curriculum will include utilizing district resources for ongoing academic support and practice, literacy and reading focus, virtual learning and experiences as a group through many online websites, physical activities, and hands-on enrichment activities. More information regarding programming content during our emergency operations will be shared via email and social media each week. We will provide information via email about the staff working with your child, the check-in procedures you can expect, and any other important details you may need to know.

Thank you for your support during this unprecedented time. We have received an outpouring of support from families and the community whether they are using our services or not. We will continue to operate to provide care for essential workers as long as it is safe to do so and will provide learning opportunities for students whose families are working from home. We look forward to continuing to partner with you during this time and after.


Club K Operating Update – 3/17/2020

How is everyone doing? Like all of you, we are aware of the extension to the school closures, now through April 28th. The Early Learning Division continues to recommend childcare stays open for essential personnel who have to work. Currently enrolled families, please check your email tomorrow for options about April tuition.

We understand there are a lot of questions right now and we aim to answer all of them. We appreciate your patience and understanding as we work through this unprecedented situation together. Despite the countless updates we are receiving from the state and the adjustments we are needing to make, our goal is to still provide this essential service to the families who need it. We appreciate our staff for their continued flexibility and could not do this without them!

Club K Update – 3/13/2020

Dear Club K Families,

We are writing to notify you that the Governor of Oregon has issued a mandate for all public schools in Oregon to close through March 31, 2020. This affects all of our Club K After School Zone locations as we operate our program from the public schools.   

We have received special permission from the West Linn-Wilsonville school district, the Tigard-Tualatin School District and the Beaverton School District to operate full day programming throughout the mandated school closures.  This will enable families with a high need to continue receiving care during this difficult situation. 

Club K will be operating on a modified schedule 8:00 AM-5:00 PM with 30 spaces available at each of the following locations:

  • Boones Ferry Primary

  • Bridgeport Elementary

  • Mary Woodward Elementary 

  • Vose Elementary  

  • Terra Linda Elementary 

 In consideration of families needs, we are offering special pricing of $35/day for these school out days.  Our normal price is $65/day. This will be billed to the Tuition Express account on file on Thursday, March 19th.

Over the course of the district closure, Club K Afterschool Zone will be evaluating additional recommendations issued by Governor Brown, the Oregon Health Authority and the Office of Child Care in order to determine continued operating status. Our hope is to be open for the entirety of the district closures, but we want to follow expert recommendations for mitigating the spread of COVID-19.  Additional communication about change of operations will be communicated as early as possible. 

To attend during the district closure:

  •     Specify the approximate pick up and drop off time to help us plan staffing

  • Wait for confirmation space is available

  • Drop in space as needed if space is available

  • Space is limited, first come first served

Once you are confirmed for attendance, be sure to pack a lunch and any medication your child may need during their time with us. Club K will serve two snacks. Be sure to bring photo ID upon pickup and instruct any alternate pickups to do the same. 

Additional Precautionary Measures: Based on the Office of Child Care’s Social Distancing recommendations, Club K will be putting additional systems in place for our program routines effective immediately. 

  • Drop Off and Pick Up Procedures: There will be a check in table located at the edge of our program space for families to sign in their student and pick them up. A staff member will be stationed at the check in table and have your student sent out to the check in area for pick up.

  • Small Group Size: Programs will run at a maximum size of 30-45 students. For activities and majority of program time students will be split into smaller groups of 10. 

  • Program Space: Club K will set up the program space to allow for additional spacing between children for the following activities 

      • Meal Time

      • Table Activity Time

      • Zone Activities

  • Prevention Sanitation: Hand sanitizer may be used for additional sanitizing when students change activity areas. This is in addition to hand-washing, not as a replacement

  • Student and Staff Wellness Checks:  All students and staff will have a short wellness check that follows the recommendations of the Oregon Health Authority and Centers for Disease Control and Prevention guidelines, when arriving at program. Wellness Check Form will be sent out with confirmations.

  • Field Trips for Spring Break will be Cancelled (per recommendations from Office of Child Care)

  • Additional Cleaning:  Staff members will arrive 30 minutes prior to program and stay 30 minutes after program to perform additional cleaning, sanitizing and disinfecting. The districts will provide normal janitorial support and cleaning throughout the district closure.

Inclement Weather, Emergency Closures, Delayed Start Policies

Club K follows individual school district announcements for inclement weather, emergency closures or delayed start times. Tuition is not reduced due to absences, vacations, suspensions, weather related closures, school district closures/delays, holidays, etc. Below are methods Club K and you can use to keep up to date on program closures.

Emergency Closure Notification Methods Provided by Club K:

1.) Facebook: Inclement weather alerts are posted on Facebook: Please “like” our Club K Facebook page, to ensure you are getting the most current inclement weather alerts:

2.) E-mail Communication: Inclement weather alerts are communicated via email. E-mail notifications are sent out as soon as district decisions or Club K decisions are made to the primary

and secondary account holders email addresses listed on registration paperwork.

3.) Flash Alert: You can also subscribe to the flash alert system to receive notifications from your school district and Club K about delays or cancellations. To receive notifications of delays or cancellations due to inclement weather or emergencies, the Flash Alert Messenger App is a great download option.

  • Register using your email address and a password of your choosing

  • After you are registered, subscribe to the organizations of interest:

  • Go to “Add Subscription”

  • Select Portland/Vanc/Salem under Region

  • Select Club K After School Zone under Organization

  • Select Subscribe

4.) You will receive emails/push notifications for any alerts regarding your subscribed organizations in the event of a delay or cancellation.

Is Tuition reduced if Club K is closed?

Tuition is not reduced due to absences, vacations, suspensions, weather related closures, school district closures/delays, holidays, etc.

 

What is your policy regarding illness?

Club K After School Zone is not equipped to care for ill students. For their safety and the safety of others we require that all sick students be picked up within one hour of a parent or guardian being called. Any student who is too sick to go outside or attend school is too sick to attend the program.
If a student becomes ill while in the program, a parent or guardian will be contacted. Students must be symptom free for 24 hours before returning to the program.

What days are you closed?

Our program calendar lists the days our program is closed and varies somewhat year to year depending on when holidays fall in the week and individual school district scheduling.

We are closed the following days:

  • New Year’s Day

  • Martin Luther King Jr. Day

  • President’s Day

  • Memorial Day

  • Independence Day

  • The week before Labor Day

  • Labor Day

  • Veteran’s Day

  • Thanksgiving Day

  • Friday after Thanksgiving

  • Christmas Eve

  • Christmas Day

Club K follows the school district’s published holiday schedule for closure dates. Generally, when one of the above listed holidays falls on a Sunday, it will be observed the following Monday. Likewise, if the holiday falls on a Saturday, it will be observed the preceding Friday. Club K is closed the week before Labor Day for staff professional development and site setup in some districts.

In addition, we may close or close early on New Year’s Eve. See Club K’s program calendar for specific information regarding the program year. School locations are combined during school breaks, and summer camp. Locations may be combined for operational efficiencies at the sole discretion of company management or at school district request.
